A manageable campaign plan

  1. Before launch: the office manager verifies permission evidence, removes duplicates and suppressed records, approves copy and supplies valid business identity, postal address and working unsubscribe mechanism.
  2. Day 0: send the approved initial message to the eligible segment. Use recipient-local permitted sending hours and the business’s authorized platform.
  3. Day 4 or later: send follow-up 1 only after at least 96 hours, with no reply, booking, opt-out, complaint or failure.
  4. Day 11 or later: send the final follow-up at least 168 hours after the actual first follow-up. Then stop this sequence.
  5. Daily: review replies, bookings and suppression updates before any queued send. A reply starts a conversation and ends automated follow-ups.
  6. After 14 days: review unique recipients, replies, bookings and collected revenue. Record attribution consistently and do not count repeat touches as new customers.

If a customer qualifies for multiple campaigns, assign just one: open estimate first, then lapsed plan, then seasonal maintenance. Exclude anyone already booked, recently contacted in another campaign or in an unresolved dispute.

Reply rate = unique replies ÷ unique initial recipients. Booking rate uses the same denominator. Collected revenue counts payments actually received; a booking is not revenue. Do not interpret these sample rates as benchmarks.
